Who needs a 1099 this year, from the payments you already export

Drop your payments export. Ninesift totals each payee, leaves out card and payment-app payments, applies the threshold and the corporation rules, maps your accounts to 1099-NEC and 1099-MISC boxes, and lists the W-9s you still need. It runs in your browser; nothing is uploaded.

🔒 Nothing uploaded📚 Any number of payments🧾 2025 $600 and 2026 $2,000 rules🆓 Free, no signup

How it works

  1. Drop your payments export (CSV or Excel) and, optionally, your vendor list — or try the sample, or download the template.
  2. Pick the tax year and check how your accounts map to 1099 boxes.
  3. Fix what it flags — W-9s to request, names that look like duplicates — then print the payee summary. With Pro, download the Excel workbook, the forms-to-file CSV and the W-9 list.

Why Ninesift

For small businesses, bookkeepers and accountants who need to know, before January, which vendors get a 1099 and for how much.

From the export you have

Drop a QuickBooks, Xero, bank or bill-pay payments export as CSV or Excel, plus an optional vendor list. Grouped reports and debit/credit columns are handled.

Card payments left out

Credit card, debit and payment-app payments are reported on 1099-K by the processor, so they're removed. Checks, ACH, wires and Zelle count.

Corporations, with the exceptions

Corporations are exempt except attorney fees, gross proceeds to attorneys and medical payments. Unknown entity types are treated as reportable and flagged.

The right threshold

$600 for 2025 payments, $2,000 for 2026 (royalties $10, attorney gross proceeds $600), with payees near the line flagged.

Accounts to boxes

Each expense account is mapped to 1099-NEC box 1 or a 1099-MISC box, from its name. Change any mapping and everything recalculates.

W-9 list and deadlines

Who you still need a W-9 from, near-duplicate payee names, refunds, and the due dates for the forms you'll file.

FAQ

What does Ninesift do?

It reads your year's vendor payments and works out which payees need a 1099-NEC or 1099-MISC, the amount for each box, who you still need a W-9 from, and the filing deadlines. It doesn't file or mail forms.

Is my data uploaded?

No. Your file is read by JavaScript in your browser tab and never sent to us or anyone else. Payments and TINs aren't stored, so closing the tab clears them. Your settings (tax year, account mappings, corporation names) can be saved in this browser.

Which files can I use?

CSV, tab-separated or Excel with one row per payment. Date, payee and amount are required; payment method, account and memo are optional. QuickBooks Online Transaction Detail by Account and expense reports are recognised. A separate vendor list can add entity type, W-9 status, TIN and address. Download the template to see the layout.

What's free?

Importing and checking any number of payments, the decision counts and totals (forms to file, NEC and MISC amounts, card payments excluded, W-9s needed), every check, plus full rows for the first 10 payees. Pro shows and exports everything: all payees, the Excel workbook, the forms-to-file CSV, the W-9 list and the payee and payment CSVs.

What isn't covered?

Filing, mailing and TIN matching, state-only 1099 rules, backup withholding calculations, 1099-INT, 1099-DIV, 1099-K and 1042-S. Fishing boat proceeds, crop insurance, section 409A and direct sales boxes aren't filled.

Is this tax advice?

No. Ninesift applies the rules in the IRS instructions for Forms 1099-MISC and 1099-NEC to the data you provide. Check the results, and ask your tax adviser about anything unusual. It isn't affiliated with the IRS, Intuit or Xero.
